Grievance Policy and Procedure

The University policy and procedure governs student grievance procedures for all program matters. The School of Nursing realizes that misunderstandings and disagreements may arise regarding issues such as academic matters, policies, conditions, and faculty decisions. The HUSON Grievance Procedure is an orderly process to deal with such problems. The goal of the Grievance Procedure is to achieve a fair and expeditious resolution of problems at the lowest authority level.

When a student perceives a problem, he or she should immediately discuss the problem openly and directly with the involved party. Most problems can be clarified and resolved at this level. If a resolution satisfactory to the student does not result from the direct discussion, and if the student perceives that an unfair, unreasonable, or arbitrary action has occurred, a grievance may be initiated in accordance with University policy in the current Hampton University Student Handbook.

STEP ONE

START AT THE SOURCE OF THE PROBLEM

a) Schedule a conference with the instructor of the course.

b) Come to the conference with a clear statement of the issue.  Do Not speculate.

c) Go to the next level of authority if the problem is not resolved.

SCHEDULE A CONFERENCE WITH THE CHIEF ACADEMIC OFFICER

If steps one to six have been omitted, the Provost will refer the case back to step five.

Please read carefully. 

  1. Students are to download instructions and grievance form from the School of Nursing website or pick up forms from the Office of Student Academic Support Services (OSASS).
  2. Once the grievance form is completed, the student brings the form to the Office of Student Academic Support Services.  The academic counselor will review the document to ensure it has been properly completed; and whether the explanation needs to be expounded upon or condensed.
  3. OSASS personnel will also review the instructions page with the student to make sure they understand the process.
  4. Student will sign and date the grievance log acknowledging they have turned in the grievance packet and received the Grievance Petition Signature Page.
  5. OSASS personnel will make a copy of the packet giving the student the copy and retaining the original for the student’s grievance folder.
  6. OSASS personnel will scan the grievance form and email it to all parties involved.  The email should state; “(student’s name) has filed a grievance and will be contacting you very soon to schedule appointments.  Please be available to meet with (student’s name).”
  7. Each person that meets with the student must write conference notes of that meeting and give the student a copy of the notes.  The original notes are to be placed in the student’s grievance folder. Each person meeting with the student must also sign and date the Grievance Petition Signature Page. NO ONE SHOULD BE MEETING WITH THE STUDENT WITHOUT THE STUDENT’S ACADEMIC FOLDER & THE GRIEVANCE FOLDER IN THEIR POSSESSION.
  8. Upon conclusion of each meeting, the student’s academic folder and grievance folder is to be returned to OSASS.  Office personnel are to review the folder to ensure all documents are in the folder and obtain the outcome of each meeting.
  9. If the grievance process continues on to a hearing with the Grievance Committee, the grievance folder and academic folder are to be given to the Director of OSASS.  The student will be sent a formal letter stating the day and time of the hearing as well as their rights and instructions for the hearing.
  10. The Grievance Committee Chairperson will conduct the grievance hearing.  The committee makes their recommendation to the Dean.  The Dean’s office sends the letter to the student with the final decision.
  11. The grievance packet will be housed in the OSASS office on the main campus after the hearing with the Grievance Committee.
  12. A copy of the minutes and the decision letter is to be placed in the grievance folder.
